At The Quad Flow, we take your privacy seriously. This policy explains how we collect, use, and protect your data when you use our AI-powered prioritization tools.
1. Data We Collect
To provide our automated Eisenhower Matrix service, we collect the following information:
- Account Information: Name, email address, and profile information provided during sign-up.
- Google Calendar Data: When you connect Google Calendar, we access your calendar events (titles, descriptions, times, and locations) for the next 14 days to classify and prioritize them in your matrix. We request read-only access via the
calendar.readonlyscope. - Google Tasks Data: When you connect Google Tasks, we access your task lists and incomplete tasks (titles, notes, and due dates) to import them into your matrix. We request read-only access via the
tasks.readonlyscope. This includes tasks from "My Tasks" and any other task lists in your Google account. - Microsoft 365 Data: When you connect Microsoft 365, we access your Outlook Calendar events and Microsoft To-Do tasks. We request read-only access via the
Calendars.ReadandTasks.Readscopes. - Slack Data: When you connect Slack, we may access your saved items (stars), reminders, and specific emoji reactions that you've configured to trigger a sync. For real-time triage, we receive message events via webhook and use AI to determine if a message contains a task assigned to you. Scopes include
stars:read,reminders:read,reactions:read,channels:history,im:history, and others. - Usage Data: Information about how you interact with the app, including task moves, overrides, and completion rates.
2. How We Use Your Data
Your data is used exclusively to:
- Automatically prioritize your tasks using our AI classification engine.
- Sync your Google Calendar events, Google Tasks, Microsoft 365 data, and Slack items (stars, reminders, and reacted messages) into your personalized Eisenhower Matrix.
- For Slack: Use AI to analyze messages in real-time to detect tasks assigned to you and automatically add them to your matrix.
- Improve our AI recommendations based on your manual overrides and behavior.
- Provide customer support and essential service updates.
Important: We do not modify, delete, or create any events or tasks in your connected services. Our access is strictly read-only for importing data into The Quad Flow. Slack messages are analyzed in real-time but not stored unless they are identified as tasks for you.
3. Data Security & AI
We implement industry-standard security measures to protect your data:
- OAuth 2.0: We use secure OAuth protocols for Google integrations. We never see or store your Google password.
- Read-Only Access: We only request the minimum permissions needed (read-only scopes) to sync your calendar events and tasks.
- Encryption: All OAuth tokens are encrypted at rest in our database.
- AI Processing: Task titles and descriptions are processed via OpenAI API for classification. We do not use your personal data to train public AI models. OpenAI processes this data in accordance with their privacy policy.
- Minimal Storage: We store only the task metadata necessary to maintain your matrix (titles, descriptions, due dates). We do not store your full calendar or task list history.
4. Your Rights
You have the right to access, correct, or delete your personal data at any time:
- Revoke Access: You can disconnect any integration (Google, Microsoft, Slack) from your account settings or directly from each service's app permissions page.
- Delete Data: You can delete your account and all associated data by contacting us.
- Export Data: You can request a copy of your data at any time.
Disconnecting any integration will immediately stop all data syncing and real-time message processing. Previously imported tasks will remain in your matrix unless you manually delete them.
